Interviews at the Eurobike Expo

Apology!
I can’t speak a word of German. Even though I have a German last name, my family have been in Australia for four generations.
Therefore, please only quote for this work if at least someone in your team speaks fluent English.

Background
My team and I run a small media business in Australia that focuses upon cycling and micromobility. I have included some links for background information at the bottom of this letter, but of these, only the fourth one is directly relevant to this request for a quote.
We produce a monthly 30 minute interview series called influencers!
In July I’m attending the Eurobike Show at Messe Frankfurt. I have arranged for the event organisers to supply me with a room at the venue on Friday, 15th July so that I can do some interviews with various people who will be at the show.

I need a small film crew (two people can do it, possibly three) to shoot these interviews.
If you look at the influencers link below you can see previous interviews that we’ve shot.
(Please ignore the remote ones).
When I interview a person live in the same room we do a three camera shoot – a wide shot that shows both me and the interviewee and then two closer shots, one of me and the other of the interviewee.
We do live switching during the interview. Most of the time we stay with the camera that is filming the interviewee, but cutting back to me when I ask a question and the wide shot to break it up a bit.

I use a small videography business in my hometown called PipeWolf Media that just happens to be owned by my daughter and son in law Fyona and Dave. I’ll attach a second document from Dave that gives you more technical details about how they would like the interviews to be recorded and sent to them for editing.

Scope of Work
One day hire – Friday 15th July
Travel to and from Messe Frankfurt.
Setup
Filming three or four 30 minute videos with a 30 minute break between each one. (say about four hours of total time
Pack down
Then during the following days, uploading the files to PipeWolf Media.

Other Notes
The Eurobike show used to be held in Friedrichshafen. I used to attend every year until covid hit. I attend at the invitation of the event organisers, who pay for my accommodation.
This will be the first time it has been held in Frankfurt and it has permanently moved there, with Messe Frankfurt now owning 50% of the event in partnership with Messe Friedrichshafen.
So it will be interesting to see how the show goes in it’s new home, but from my past experience, having been to most of the major bike shows at different times over the past 25 years, Eurobike is the best show.
Therefore, assuming the show continues to be successful, I will be coming to Frankfurt every year and doing interviews each year, hopefully using the same videographer.

Being a small business, I have a limited budget, so if you’re a more corporate scale of business that mainly works for TV Networks or major advertising production etc then I probably can’t afford you.
On the other hand, I’m looking for someone that has enough equipment (three cameras, suitable lighting and microphones etc) and experience to do a good job.
I’m not 100% sure about a backdrop. We could either just shoot in the room with no backdrop at all (simplest and probably least expense) or use a green screen.
When you’re quoting, could you please quote on no backdrop and only give a second quote for using a green screen if you have one that’s portable and have experience in using one.

2 person interview for the Influencers Recording

Summary:
3 cameras minimum (preferably like Sony A7sii or Sony FS5 – to match previous videos)
1x camera close-up on interviewee
1x camera close-up on interviewer
1x camera wide capturing both interviewee and interviewer (Mid shot)
Lapel microphone on each person recorded individually on a 32-bit float recorder.
Light up the interviews so there are no shadows on the faces.

Technical specs:
Resolution and FPS: 1080p @ 25FPS
Colour: S-Log3 or similar – so we can add colouring adjustments if needed.
Audio: Please make sure the camera mics are turned on for scratch (make synchronizing easier)

We would like all Raw recording files – would be fantastic if you can rename the files with the name of the interviewee.
IF you are doing live multi-cam recording can we get this as a separate recording.
