About Us:

Historic Hudson Valley (HHV) is a Westchester-based cultural non-profit that welcomes visitors to five National Historic Landmarks, including Philipsburg Manor, Washington Irving’s Sunnyside, and Kykuit, the Rockefeller Estate. HHV offers an array of K-12 school programs, public tours, and seasonal festivals including the Great Jack O’Lantern Blaze. The organization has a national reputation for groundbreaking on-site educational programs and award-winning digital content in the content areas of Northern colonial enslavement, regional women’s history, and storytelling.

HHV is seeking a seasonal production coordinator to work in the events department during our events season to further enhance our guest’s experience.

Primary Responsibility:

To perform, and oversee, all tasks required to support the planning, execution and delivery of the exhibits and infrastructure for Historic Hudson Valley’s Fall public event program, including but not limited to the Great Jack O’Lantern Blaze, Hudson Valley and Long Island.

Principal Duties:

  • Work with the Associate Director and other members of the Event team to establish goals for each day/week of the planning, installation, operation and strike of assigned events.
  • Participate in the creation and maintenance of event records, including the generation of drawings, instructions, packing and parts lists and diagrams, and documentary photographs.
  • Facilitate and oversee the work of outside vendors and contractors, such as lighting, electrical and labor, as required.
  • Travel to other HHV Sites, including Blaze Long Island, as required.
  • Perform work tasks, including those being carried out by those under his/her supervision, including carving, carpentry, painting, and manual labor
  • Serve as a member of the night-time event staff during the Blaze (or other) event run, taking responsibility for all associated tasks including customer service, and as a member of the daytime support crew (including weekends) as assigned.
  • Participate in post-event evaluation and revision
  • Work with other HHV departments such as buildings, grounds, security to schedule necessary on-site preparation work
  • Other duties as assigned

Knowledge, Skills, Abilities:

  • Two to four years related experience in popular events, site management or theater
  • Ability to read and follow a set up diagram or drawing
  • Knowledge of HHV historic sites and events a plus
  • Strong communication skills
  • Proficient in MS 365
  • Knowledge of project management software a plus
  • Flexibility; ability to handle pressure gracefully
  • Organization skills and ability to handle multiple tasks concurrently

Work Conditions:

  • Outdoor work, exposure to all weather conditions
  • Daily physical labor
  • Weekends, holidays and evenings in support of event schedule

Physical Requirements

  • Must be able to walk or stand on level, inclined and unpaved surfaces for extended periods
  • Must be able to lift/carry up to 40 lbs.
  • Must be able to crouch, crawl, stoop, kneel, reach, push, pull, lift in any direction for sustained periods of time
  • Must be able to grasp or handle objects, use finger dexterity, bend elbow/knee and reach above/below shoulders
  • Must be able to sustain movement/motion of the wrists, hands and/or fingers
  • Must be able to perceive attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly fingertips
  • Must be able to routinely climb/descend stairs
  • Must be able to read and interpret written material and instructions
  • Must be able to communicate (i.e. clearly express and exchange ideas) by voice and detect sound by ear (e.g. receive detail information and make fine discriminations in sound)
  • Must be able to distinguish color and judge three-dimensional depths
  • Must be able to maintain body equilibrium to prevent falling when walking, standing or crouching on narrow, slippery or erratically moving surfaces.
