Job Description

Whole Productions is seeking Freelance Event Producers to lead complex corporate and experiential events. The role involves being an on-the-ground expert and client liaison, overseeing production plans, coordinating internal and vendor teams, managing budgets, and ensuring a seamless event experience from kickoff through post-event debrief.

Ideal candidates will have experience working across various corporate venues and hotel properties, and demonstrate skill in identifying potential roadblocks before they arise, proactively providing solutions to keep events on track.

Responsibilities

- Lead mid-to-large scale event productions.

- Serve as a client-facing point of contact on assigned projects.

- Develop and manage timelines, production schedules, and budgets.

- Coordinate and direct internal team members, vendors, and freelance staff.

- Oversee load-in, show flow, and load-out for flawless onsite execution.

- Manage financials to target positive gross margin on each event.

- Complete reconciliation and post-event wrap reporting.

- Collaborate with the internal team on tools, templates, and process improvements.

Requirements

- 5+ years of event production experience (agency, brand, or freelance).

- Confident in running projects with budgets ranging from $100K–$500K+.

- Excellent logistics and creative problem-solving skills.

- Ability to communicate clearly and proactively with clients and teams.

- Comfort with fast-paced environments, changing priorities, and short lead times.

- Reliable transportation and ability to lift 50 lbs.

- Driver’s License (Required).

- Working knowledge of Google Suite, Slack, and Asana (Salesforce or Cvent is a plus).

- Availability to travel and work nights/weekends based on event schedule.

Employment Details

- Job Type: Contract, Temporary

- Pay: $25.00 - $100.00 per hour

- Expected hours: 5 – 25 per week; evenings and weekends as needed.

- Location: Remote/Flexible

- Commitment: Project-Based, Freelance.
