Job Description

Orbis International is seeking a preferred design vendor to act as a trusted partner for a variety of large and small Orbis-branded design projects. These projects will require effective collaboration with the Orbis team, primarily through email correspondence and possibly an initial video call for detailed projects. The vendor should be ready to work on projects that can range from a few days to several months with quick turnaround times. This partnership is set to last for 24 months, and approximately 20-30 projects are anticipated per year.

Requirements

The preferred vendor must have a clear understanding of the Orbis brand and design guidelines. Experience in similar design projects is essential. The vendor’s rate should be quoted hourly and should encompass all costs. Expected number of hours needed for each listed project example should be provided.

Pricing

The proposal should include a quote for an hourly rate covering the design projects described. This should include all costs except for expenses requiring other vendors like printing costs.

RFP Submission Process

Each proposal must contain:

• Past experience with similar projects including examples or links.
• Quotation/cost breakdown on an hourly rate.
• Confirmation of response times for project requests.

Evaluation Criteria

Evaluation will be based on the following:

• Experience and Samples (weight 40%)
• Implementation Timeline (weight 40%)
• Price Quote (weight 20%)

• Issue Request for Proposals: October 20, 2025
• Proposal submissions due: October 31, 2025
• Vendor Q&A: November 3-5, 2025
• Select Vendor to Award Business: November 6, 2025
• Estimated Contract Start Date: November 10, 2025
• Contract Duration: 24 months

Submission of Proposals

Proposals should be submitted by the deadline stated above and may include multiple attachments.

Contract Award and Notification

Orbis will award the contract to the qualifying Bidder whose proposal is determined to be the best, taking into account price and performance factors.
